Who publishes this page

This page is published by the operator of the Pike Gazebo website, whose correspondence address is 4-20-10 Honcho, Funabashi, Chiba 273-0005, Japan. The operator can be reached at info@pikegazebo.com or on +81 47-673-1811. The operator's legal name and registration details are provided on request.

Ref. PRV-02 / Scope

What this policy covers

This policy explains how personal information is handled when you read this website, send an enquiry about a procurement or supply chain review, or later share purchasing records, supplier agreements or stock data so that a review can be prepared. It is written with Japan's Act on the Protection of Personal Information (APPI) in mind.

The site is small. It has no accounts, no shop, no newsletter, no comment area and no login, so the personal information involved is limited to what you choose to send.

Ref. PRV-03 / What is collected

The information the operator receives

Information you send yourself: your name, your email address, the name of your business if you give it, and whatever you write about your purchasing set-up, such as how many suppliers you have, which review interests you and whether a renewal date is near. If you telephone, the operator may note your name, number and the substance of the call.

Information that arrives with a commissioned review: once you agree to a written scope, you may send purchasing records, supplier agreements and inventory data. These documents can contain the names and contact details of people at your suppliers and customers, and prices that are commercially sensitive. Please send only what the written scope asks for, and remove personal data that is not needed.

Technical information: when a page is requested, the web server that hosts this site normally records the time, the page, your IP address and your browser type in an access log. The operator has not published which hosting company is used; details can be asked for through the contact page.

Ref. PRV-04 / Purposes

What the information is used for

  • To read and answer your enquiry and to prepare a written scope for a review.
  • To carry out a commissioned review and to write the report, using only the records you provided for that purpose.
  • To keep a record of correspondence in case a question comes up later about what was agreed.
  • To keep the site secure and working, using the server logs described above.

Your information is not used for advertising, is not used to build a profile of you, and is not used for anything unrelated to these purposes without asking you first.

Ref. PRV-05 / Third parties

Who else sees it

The operator does not sell personal information and does not provide it to third parties, except where the law requires it or where it is needed to protect a person's life, health or property and consent cannot reasonably be obtained.

Some work is handed to service providers: the company that hosts the site, and whichever email, phone and file-sharing services the operator uses to read and answer your message and to receive records. Those providers handle information only for that purpose, and the operator remains responsible for it. Records you send for a review are not shown to your suppliers or to other clients.

This website loads nothing from third-party advertising, analytics or font services; its script and pictures are served from the site itself.

Ref. PRV-06 / Cookies

What your browser stores

The site does not set cookies of its own and does not use your browser's local storage. The Cookie Policy has the details. Your browser may keep ordinary cached copies of pages and pictures, which you can clear in its settings.

Ref. PRV-07 / Confidential records

Documents sent for a review

Purchasing records and supplier agreements are business documents, and some are covered by confidentiality terms with your suppliers. Before sending them, check that you are allowed to share them for this purpose. If you want a written non-disclosure agreement in place first, say so in your first message and the point can be settled in writing before any document is sent.

Records are used only for the review they were sent for. When a review is finished, they are kept for as long as is reasonably needed to answer follow-up questions about the report, and then deleted or returned, as agreed in the written scope.

Ref. PRV-08 / Keeping it safe

How information is looked after

Messages and records are read by the operator and are not passed on beyond what is described above. The operator takes reasonable care to prevent loss, leaking or misuse. No method of sending information over the internet or by email can be made completely safe, so please do not put passwords, bank details or other sensitive information in an enquiry. A review never requires them.

Ref. PRV-09 / How long

Retention

Enquiries that do not lead to a review are kept for as long as is reasonably needed to answer them and any follow-up, and then deleted. Correspondence and records of a review that took place are kept as described above and for as long as the law requires. You can ask for earlier deletion at any time.

Ref. PRV-10 / Your rights

Looking at, correcting and stopping the use of your information

Under the APPI you may ask the operator to tell you what personal information it holds about you, to disclose it, to correct information that is wrong, and to delete it or stop using it in the cases the law provides for. To make a request, write to info@pikegazebo.com, call +81 47-673-1811, or use the contact page.

The operator may ask you to confirm who you are before acting on a request, so that information is not given to the wrong person. A request will be answered without unreasonable delay, and where it cannot be met in full, the reason will be explained.

Ref. PRV-11 / Abroad

Where information may be stored

The operator does not knowingly send personal information to anyone outside Japan. Because the hosting, email and file-sharing providers have not been published, the country where their servers sit cannot be stated here. If that matters to you, ask before you send anything.

Ref. PRV-12 / Questions

Complaints and contact

If you have a question or complaint about how your information is handled, contact the operator at the address, phone number or email shown at the top of this page. You may also take a complaint to the Personal Information Protection Commission (個人情報保護委員会), the authority responsible for the APPI.

This policy may be updated when the site or the way it is run changes. The date at the top shows the latest version.
